Payroll, Vacation and Sick Leave Balances

Employees are paid monthly or bi-weekly based upon their employment status and job classification.

Monthly employees must turn in a timesheet or Leave Reporting worksheet on the first working day of each month for the prior month.

Bi-weekly employees to ensure they are paid correctly and on time must adhere to a schedule by which they turn their timesheets in. It is also highly recommended that timesheets be turned in one at a time for the correct time periods and on time so as not to encounter problems with pay.

Employees should contact the Payroll Office (x61188) if any of the following occur:

  • No pay is available for pick-up at department or no record of deposit at your bank or bank ATM on paydays, after the bank has officially opened.
  • Pay is incorrect.
  • Explanation of defduction is desired.
  • Any errors are noticed on your surepay statements, (i.e., name, address, etc.).
Vacation and Sick Leave balances

Employees should monitor their vacation and sick leave balances every month and keep copies of all their timesheets turned in showing time worked and time used for vacation or sick leave. These balances are determined by information on timesheets turned in, by an employees job classification, and by the number of years employed.

Vacation and Sick Leave balances appear on employees surepay statements. Remember, these balances do not include vacation and sick leave used for the time period for which you are being paid, or for usage not yet reported from prior months.

  • Neither sick time nor vacation time can be used before it is accrued.
  • An employee who becomes ill while on vacation shall be permitted to use sick time based upon satisfactory verification of illness or injury.
  • All vacation time must be approved in advance by the employee's immediate supervisor.
  • An employee may request to use vacation for illness, but the request must be approved in advance by the employee's supervisor. The request itself does not guarantee approval. If approved, an employee may be required to submit medical certification of inability to work or illness in the family.

Reminder: There is a maximum number of hours an employee may accrue. Use vacation time and keep your balance below the maximum so as to avoid the possibility of losing vacation time.
